Lori, that's a great question, and probably worth its own article. Simply put, I have a LOT of time set aside for specifically that retrieval: a half hour of morning planning, at the start of the day, when I look through undone items, and again at the end of my workday (about 4:30pm) when I review the day. Also, every Sunday morning my partner and I pull out markers and stamps and stickers and washi tape and my "big" Bullet Journal (the "official" one) and I create a new weekly spread, looking over my to-dos, projects, etc.
It seems weird, with all the tech that I have, to use a paper-based system, but it always comes back to that "no distractions" idea.
I recently watched Simie Iriarte's video about using cards as well as a bujo (https://youtu.be/kUxxUW2UmGI ) and I wonder if my little notebook serves the same purpose as her ugmonk cards. I'd recommend taking a look -- but the answer to your question is: I build in times during the day when I'm constantly updating and checking. I won't say nothing falls through the cracks -- but less falls through than used to.
